Types of Search

The following table lists the types of searches available in Eclipse SE. Except as noted, the Advanced Search can be used for all of these searches. (Some search types have alternative methods, such as using the Quick Search bar for text or field searches or searching for tags from the tag palette.)

You can combine multiple search types as discussed in Build Multi-part Search Expressions.

 

Type

Description

Categories

Search fields defined by your administrator as Category fields. Categories are defined based on your organization’s needs; check with your administrator if you have any questions about which fields are defined to include categories.

Custodian

Search for records that include (or do not include) a particular name in the CUSTODIAN field. For example, an “Author” field might be so defined.

Doc Tags

Search for documents that have been marked with a specific docu­ment tag or tags in a specific tag group. Alternatively, search for all documents containing any document tags (or containing no document tags).

This search does not include Review Status tags; use the search feature on the Doc or Page Tags tabs or the Review Status search for these tags.   

Duplicate Value

Search for any two fields that contain identical content. For example, you may want to find all records for which the Author and Sent By fields have the same names.

NOTE: This search may take significant time for a large case.

Embedded Text

Search for documents containing embedded text that contains specific terms or phrases.

Folders

Search for documents that are included or not included in a Private Folder. Combine this search with another search(es) to find something specific in the folder. For example, you may combine the Folder search with a search for a specific tag to find documents in the folder that have been tagged in a certain way.

Full Text

The simplest type of search. Full-text searches look for words or phrases in one or more indexed fields (that the user has a right to view). This includes database fields and extracted text as explained in Overview: Search.

Full-text searches can be limited to a specific field if needed.

Key Fields

Search fields containing unique or sortable data, such as document ID, dates, or similar types of data. These fields are defined by your administrator as Sort Key, Primary Key, or Category fields, plus certain specific fields such as ENDDOC. Check with your administrator if you have any questions about which fields are key fields.

Non-discovery Documents

Pleadings or other non-discovery documents that are part of your case can be searched. The Advanced Search is not used for this search type.

Page Tags

Search for document pages that have been tagged with a specific tag. Alternatively, search for all documents containing any page tags (or containing no page tags).

Production Job

Search for the documents in a specific production job by job name. Can be combined with other searches to find specific content in produced documents.

Contact your administrator for details on the production jobs for your case.

Production Key

Search for a produced image by production image key. Useful when you have a production image key and do not know which case document it corresponds to.

When the record is selected in the Search Results tab, only the production jobs containing the production key will be available on the Production History tab.

If the document details pane is open when you perform the search, the Production History tab will automatically display the produced image.

TIP: This search is also available from the context menu of the case table

Public Folders

Search for documents that are included or not included in a Public Folder (a private folder someone has shared with you).

Combine this search with another search(es) to find something specific in the folder. For example, you may combine the Public Folder search with a search for a certain redaction to find documents in the folder that have been marked with the selected redaction.

Redaction
Categories

Search for documents with (or without) specific redactions. Alternatively, search for all documents containing any redactions (or containing no redactions).

Review Status

For a particular review pass, search for documents with (or without) a specific review status (Reviewed, Not Reviewed, or On Hold).

Smart
Folders

Search for documents that are included or not included in a Smart Folder.

Combine this search with another search(es) to find something specific in the folder. For example, you may combine the Smart Folder search with a Full Text search to find documents in the folder that contain a certain term or phrase.

Sticky Flags

Search for documents containing sticky notes (aka flags) that contain specified terms or phrases.

Transcripts

Search all transcripts for a specific issue or text.

Combine Search Types

Different search types can easily be combined using the Advanced Search. In addition, some searches can be combined in the Search bar. For example, you can combine a full-text search for the term “retroactive” with a search for the “Privileged” document tag. Search types are combined in expressions using Boolean operators AND, OR, and NOT.

NOTE: Searching case records and transcripts together is typically appropriate for text-based searches. If you perform a field-specific search with transcripts selected, the transcript results will search for the term itself. For example, if you search the “From” field for the name bob smith, transcripts containing that name will also be found.
